Training Feedback & Records Management Policy

1. Purpose

To ensure systematic collection, management, and utilization of training feedback and records to enhance learning effectiveness, support employee development, and maintain compliance with regulatory and organizational standards.

2. Scope

This policy applies to all employees, contractors, and trainees participating in training programs at Mototolo Platinum Mine.

3. Feedback Collection

  • Training feedback shall be collected promptly after each session through surveys, interviews, or group discussions.

  • Feedback will cover content relevance, trainer effectiveness, training materials, and facilities.

  • All feedback data will be reviewed regularly to identify improvements.

4. Records Management

  • Maintain accurate records of attendance, training materials, assessment results, certificates, and feedback.

  • Records will be securely stored electronically in the company’s Learning Management System (LMS) or approved database.

  • Access to training records is restricted to HR, Training Coordinators, and relevant managers.

  • Retain training records for a minimum of five years or as required by law.

5. Responsibilities

  • Trainers ensure feedback is collected and training documentation is accurate.

  • HR and Training Coordinators manage record storage, security, and updates.

  • Managers use records to assess development needs and compliance.

6. Utilization of Feedback and Records

  • Analyze feedback to improve training programs continuously.

  • Track training completion and competency development.

  • Support employee appraisal, promotion, and succession planning with documented training history.

7. Review

The policy and associated processes will be reviewed periodically to ensure relevance and effectiveness.
