Mototolo Platinum Mine – MPLATS ENTERPRISE (PTY) LTD
1. PURPOSE
To establish clear procedures and standards for the safe, compliant, and efficient supply, handling, and delivery of fuel (Diesel 50PPM) to Mototolo Platinum Mine, ensuring operational continuity and regulatory compliance.
2. SCOPE
Applies to all suppliers, transporters, contractors, and internal personnel involved in the procurement, delivery, storage, and use of fuel at Mototolo Platinum Mine.
3. SUPPLIER REQUIREMENTS

Must hold a valid Fuel Supplier License and comply with all applicable local and national regulations.

Supply fuel meeting the quality standards specified (Diesel 50PPM, Low Sulphur Fuel) and accompanied by valid Certificates of Analysis (CoA) or Certificates of Quality (CoQ) for each batch.

Maintain HAZMAT/HAZCHEM certification for transport and handling equipment.

Adhere strictly to Mototolo’s probation and induction requirements before commencing direct deliveries.
4. PROCUREMENT AND ORDERING

Fuel procurement follows a formal Request for Quotation (RFQ) and Purchase Requisition (PR) process through SAP Ariba.

Pricing must be quoted inclusive of VAT and remain fixed unless officially amended per national regulations.

Orders must be confirmed via official Purchase Orders referencing the PR number.
5. DELIVERY PROTOCOLS

Fuel delivery to commence only after the successful completion of the supplier probation and induction.

During probation, all fuel deliveries must be made through Mototolo’s nominated and pre-approved transporters.

Supplier-operated deliveries are strictly prohibited until probation and induction are fully completed.

Fuel must be transported in certified HAZMAT/HAZCHEM-compliant tankers.

A minimum 24-hour delivery notice must be provided to the nominated transporter and Mototolo’s Supply Chain team.

Deliveries are accepted only at the designated Mototolo Fuel Depot A.
6. RECEIVING PROCEDURES

All fuel deliveries must be accompanied by original batch documentation, including CoA/CoQ and transport compliance certificates.

Upon arrival, fuel batches undergo quality verification and documentation review by Mototolo’s receiving and quality assurance teams.

Any fuel failing to meet quality or safety standards will be rejected and returned at the supplier’s cost.

The Allocation Number and Collection PIN must be recorded for every delivery for traceability.
7. SAFETY AND ENVIRONMENTAL COMPLIANCE

All personnel involved in fuel handling must comply with Mototolo’s Health, Safety, and Environmental (HSE) policies.

Proper PPE (Personal Protective Equipment) must be worn during all stages of fuel transfer.

Spill response kits must be readily available, and any spill or incident must be reported immediately per incident reporting protocols.

Fuel storage and transfer must prevent environmental contamination and comply with all applicable environmental legislation.
8. PAYMENT TERMS

Payment will be processed on a Net 14 Days basis following the successful delivery, acceptance, and invoicing, referencing the Purchase Order number.

Invoices must include all required documentation: Allocation Number, Collection PIN, and batch certificates.
9. COMPLIANCE AND AUDITS

Mototolo reserves the right to conduct audits and inspections of supplier operations, delivery processes, and documentation to ensure ongoing compliance.

Non-compliance with these protocols may result in suspension, penalties, or termination of the supply contract.
